Software/Hardware Purchasing Departmental Purchases



Software for Office Computers
The questions listed below will help provide the necessary information to begin the requisition process for your institutional order. If this is a lab purchase, skip to the section below.
  • Is the software for a PC or Mac?
  • Software title and version number
  • Vendor or manufacturer's name (if available)
  • Do you require a single license or multiple licenses?
  • Will the software be used in a computer lab?
  • Are you requesting an updated version of software that is already installed on your computer?

Software for Lab Computers
If you require specific software installed on your PC or in a teaching lab, you must advise Adelphi IT by contacting the HelpDesk at helpdesk@adelphi.edu. You should allow at least four weeks for the purchase, testing, and installation of the software.

Most rooms are equipped with our standard software suite. To find out if additional software is already installed in any particular instructional lab, click on the room name to view the classroom details.

To expedite your request, please include the following information:

  • Software title and version number
  • Vendor or manufacturer's name (if available)
  • Teaching lab location for installation
  • Number of licenses required for purchase
  • Account number to be charged
  • Special billing instructions (if applicable)

Adelphi's IT HelpDesk will generate a work order with a reference number that you can use to track the status of your request.

For all departmental computer and equipment purchases, follow the procedure below:

  1. Request approval from your Dean, Director or Vice President for the purchase of a new computer or other hardware. That supervisor (if he or she agrees with your request) will begin the paperwork so that funds will be ready for transfer to the Office of Information Technology once the price of the equipment has been agreed upon.
  2. If approval has been given from your supervisor, contact the IT HelpDesk at 516.877.3340 or email helpdesk@adelphi.edu. You will need to have information about your computing needs prepared in advance based on the questions in the relevant sections below (see Computer, Digital Imaging or Audio/Video). Please make notes so that you will be prepared to give the answers to our purchasing department.
  3. Adelphi IT will create a work order ticket. The HelpDesk technicians will verify the availability and viability of data jacks in the location where you have requested the unit to be installed. If a new data run is necessary for the computer to connect to Adelphi's network, it will generate additional cost to the project.
  4. Adelphi IT will send you a final cost estimate for your request. Once the transfer of account funds from your department is completed, the computer will be ordered, inventoried, and deployed.
  5. The setup of your equipment may take as little as a few business days depending on the specifications of your order and whether an outside contractor is needed to install additional data lines.

Computer
  • Do you need a desktop or laptop?
  • Do you need a PC or Mac*?
  • Is this computer for general office use (Microsoft Office, email, etc.) or do you require graphics capabilities? 
Please see our general Purchasing Guide if you are not sure of what type of machine you need to perform your job. Based on your office computing needs, the purchasing department will recommend a specific bundle for you, to be approved by your department head for purchase.

*Please note: Macs are primarily reserved for those who need to create high-resolution graphics and video.

Digital Imaging
Printer
Hewlett-Packard is our standard printer brand. Laser printers are the only option for black and white printing (e.g., HP's LaserJet). Color printers may be either laser or inkjet (e.g., HP's DeskJet).
  • Do you want a black and white or color printer?
  • How many computers will be linked to this printer?
  • Do you require a spooler for use with the Administrative Systems database?
  • What is your print volume—light, average, or heavy?
Scanner
  • Do you require an automatic document feeder?
  • Will you be scanning letter or legal sized documents? Or both?
  • Will it be used primarily for general scanning, i.e., articles?
  • Will it be used primarily for scanning multiple pages in one session?
  • Will it be used primarily for scanning graphics?
Audio/Video
Digital Camera
  • Will it be used primarily indoors or outdoors?
  • What type of photos will you be taking—action shots, landscapes, or portraits?
  • Will the photos be published to a website?
  • Will the photos be enlarged?
Digital Camcorder
  • Will it be used primarily indoors or outdoors?
  • What type of video will you be recording—lectures, sporting events, or arts performances?
  • Will the videos be published to a website?
Projector
  • What is the size of the room in which it will be used?
Handheld Devices
Please note if the following are needed, and if so, how often will you be using them:
  • PDA
  • Vocoder
  • MP3 Player
