Policies Email Retention Policy

In response to a number of questions, the Office of Information Technology and Resources (OITR) would like to restate University guidelines regarding email retention.

Email is a dynamic and efficient communications system. The Adelphi email system serves over 8,500 active users. OITR maintains the servers and performs system backups for the sole purpose of system recovery and restoration. Backups are security measures and are not designed for email retrieval.

As a general guideline, the Adelphi email system saves emails for up to 180 days. During that period you can read and act upon them. However, after 180 days, the email is deleted from the system – regardless of its originator, addressee or importance. This is to ensure the proper functioning of the email system. These emails are no longer accessible unless they have been archived by the individual. It is critical that you archive those emails that you want to keep for future reference.

It is important that you review your emails to determine which you want to save. Contact Customer Services for assistance in archiving your emails.
