Overview
  • Why do we have these new AU Gmail accounts?
    AU Gmail accounts are available to all registered Adelphi University students and active alumni thanks to a partnership between Adelphi’s Office of Information Technology and Resources and Google. In November 5, 2008, AU students were invited to start using the new Gmail Web interface and many Google tools such as Google Calendar and Google Docs.

  • When can I start using my account?
    If you have not already activated your AU Gmail account, you can—and should!—do so right now. All registered students and active alumni have accounts; however you need to activate your own account in order to access it the first time. (Your AU Gmail username and password are the same as your eCampus login.)

    Just sign on to your eCampus account and click the EMAIL tab and you will see a button to Log In to AU Gmail. If this is your first time, you will be asked to agree to Google's terms of service.
  • Will my email address stay the same?
    Your Adelphi AU Gmail address is slightly different than the one you had on the GroupWise system. Your username is the same, but the portion after the @ sign now includes the word mail: For example: username@mail.adelphi.edu
  • What if I already have a personal Gmail account?
    AU Gmail is a separate account that allows you to send and receive Gmail using your official @mail.adelphi.edu email address. Your AU Gmail account provides the benefits of Gmail in an advertisement-free environment.
  • Am I required to use my AU Gmail account?
    Utilizing your AU Gmail account ensures that you will receive official notices and messages from the University, including Adelphi's online services such as C.L.A.S.S. and Moodle.

    It is up to the individual user to decide whether or not they would like to utilize the AU Gmail account directly or forward mail sent to the AU Gmail account to an outside account at their own risk. We strongly encourage you to access AU Gmail directly to avoid any complications with other third-party Internet Service Providers. We think you'll love using the Gmail interface once you try it out.
About the Switch: Reasons, How, When...
  • Why did we move away from GroupWise?
    GroupWise was unable to provide the storage capacity and features that our students need to perform their academic studies. Moreover, because students are able to keep their Adelphi email address after they’ve graduated, this creates an ever-growing base of customers. This increasing need for maintenance, back-up, and archiving of the campus email servers made partnering with Google the smart choice for Adelphi.

    The switch to Gmail was planned with cooperation from the SGA and the Student Technology Advisory Committee. The SCAIT and ACC committees were involved in the planning as well. More than 40% of colleges and universities surveyed by Educause have migrated their student email to external companies such as Gmail and MSN, including Hofstra, which successfully transitioned to Gmail in April 2007.

    GroupWise will still be used by staff, faculty, and administrators.
  • What happens to my GroupWise mailbox after I activate my AU Gmail?
    As of April 14, 2009, GroupWise is no longer accessible to students. Accounts and any old files and messages have been deleted. From November 5, 2008 until April 13, 2009, students were sent notifications regarding the switch and were given this time period to retrieve old messages.

  • How do I move my old mail and contact out of GroupWise?
    As of April 14, 2009, GroupWise is no longer accessible to students. Accounts and any old files and messages have been deleted. From November 5, 2008 until April 13, 2009 students were sent notifications regarding the switch and were given this time period to retrieve old messages.
  • How will I get the word out that I am now an AU Gmail user?
    You can select the contacts in AU Gmail you wish to notify and send an email explaining the change in your address.

    IMPORTANT: Be sure to rack your brain for any web accounts you may have registered to your old username@adelphi.edu GroupWise address (e.g., Facebook, MySpace, Twitter, your cell phone provider, electric company, cable company, online banking, Hotmail, Yahoo, etc).
  • I've gotten started using my Gmail account. Where can I find help?
    You can get more detailed help on how to use Gmail and other Google Apps at the Google Apps Help Center.

    Please note: Adelphi Customer Services is unable to provide support problems you might encounter with Google Apps other than email. Please consult Google's help guides if you have questions about how to use these applications. You can also click on the Help link near the top right hand corner of the Google Application you are using. Not all Google Apps may be available in Adelphi's Google Apps for Education Suite.
Technical Info
  • If it's Gmail, why is my address @mail.adelphi.edu and not @gmail.com?
    Adelphi University owns the domain mail.adelphi.edu and Google administers email for that domain through Gmail. The difference for you is that you get the convenience and storage of a Gmail account along with the email address of an official Adelphi-owned domain.
  • I'm an eligible student and a staff member. Can I activate an AU Gmail account and keep my GroupWise mailbox for University business?
    Your business email address will not change from GroupWise to Gmail, but your student email address will change to the new Gmail system. Your username for each of your accounts (student vs. staff) should be different.
  • What are the recommended Web browsers to use with AU Gmail?
    In order to take advantage of the newest Gmail features Google recommends using Firefox 2.0+ for Windows, Mac or Linux platforms, or you can use Safari 3.0 for Mac, or Internet Explorer 7.0 or Google Chrome for Windows. You can also access Gmail with other browsers, but you may not be able to use all of the latest Google Apps features.

  • What are Google Apps?
    Google Apps are collaboration and communication tools available in conjunction with Gmail.

  • How does the new email system work?
    Adelphi Gmail is an email account within an Adelphi-owned domain (mail.adelphi.edu), but is administered and maintained by Google through their Gmail system.
  • Why are the AU Gmail services slightly different from services that are publicly provided by Google?
    AU Gmail accounts have been customized for optimal educational collaboration and Adelphi University branding will appear at the top of most pages. In addition, Adelphi University has taken steps to ensure that your student data is protected above and beyond a publicly available account. Enrolled students will not see advertisements.

    External links to Google’s “Web Clips” do appear in the area to the right of the Compose Mail link, however, this can easily be turned off or adjusted to suit your preferences. On the top right of your AU Gmail screen, simply click on Settings and then Web Clips and remove/select web clip sources as desired or uncheck the box next to “Show my web clips above the Inbox” to hide this function entirely.
  • Can I log on to other Google-sponsored services with my AU Gmail username and password (e.g., Google Reader, Groups, Notebook, blogger.com)?
    No. Your AU Gmail username and password will only work with the services that have been deployed within the Adelphi domain. To access other Google services, you will need to apply on your own for a "non-University" account through Google.
Security and Privacy
  • What assurance does the University provide about privacy when using Gmail?
    The University has accepted the standard Google terms and conditions which include reference to its privacy policy. You should review Google's privacy policy and terms of service, which you will have to agree to before activating your account.

  • Will Google log my activity or scan my content?
    Google's operating practice is to electronically process the contents, addresses, and other characteristics of Google Apps for Education (Gmail, Calendar, Contacts, etc.) services in order improve the efficiency of user searches for individual users. Google's privacy policy states that hosted data is not sold or turned over to third parties, unless the data is subpoenaed in a court proceeding. The data derived from Google's automated processing are maintained by Google until two years after the last date of a customer's use of any Google service. Google has agreed that AU student data is subject to the Family Educational Rights and Privacy Act (FERPA) when in Google's possession.
  • How do I ensure that my data stays secure when I'm using a shared or public computer?
    Important: Closing the Web browser will not end your session as it does with many AU systems. If you do so, the next user will have full access to your Gmail account. Click the Sign out link in the top right corner of Gmail when you are finished using your account on a shared or public computer and then close the browser.
  • How will you handle spam and viruses?
    Adelphi system administrators will retain responsibility for running extensive spam and virus checks.
  • Some of my emails contain confidential material. How will you maintain privacy?
    Google maintains Privacy Policies for each of its applications. For a complete list and access to each of these policies, please visit Google's Privacy Center.
  • Is email a secure form of communication?
    Sensitive information such as passwords, social security numbers, driver's license numbers, credit card information, medical/health conditions, etc., should NEVER be sent through email. There are a number of reasons for this:
    • Email could be intercepted and accessed by an unauthorized party
    • Email could be shared inappropriately by the recipient
    • Email could be compromised for as long as it is retained by you or the recipient
    • There are no retention controls over the recipient's system
    • Accessing your email over an insecure network (i.e., Internet Cafe or open wireless network) can expose your user account information
    • Although encrypted connections can mitigate the risks of having ones' authentication credentials compromised, email itself is still plain text when traveling between the sender and the recipient and can be easily intercepted.
    Regardless of the provider, email is not a fully secure method of communication.
  • What can be done to protect unauthorized access to data stored on Google servers?
    The privacy and security provisions in the agreement with Google state that administration and management of Gmail accounts in the Adelphi domain are under the control of Adelphi email administrators. User authentication is provided by our campus Central Authentication Service (CAS). CAS provides an added level of security since no user information is sent to Google. Names and other such data will not be sent to Google when accounts are provisioned. Subsequently, Adelphi users do not send their user names and passwords when they authenticate to use secure campus services.
  • How do I report junk email or account abuse?
    If you believe someone is maliciously targeting Adelphi University accounts with phishing emails, hoaxes, or viruses, please forward the suspicious email message to customerservices@adelphi.edu, then permanently delete the message.

    For non-malicious, but annoying spam, use Gmail’s Report Spam button to let Google know if you received junk email.
